We are looking for a reliable Office Administrator.

They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.

The tasks of the office administrator will include service ticket assignment, and opening/closing office each day.

The ideal candidate will be competent in prioritizing and working with little supervision.

They will be self-motivated and trustworthy.

The office administrator ensures smooth running of our company’s office and contributes in driving sustainable growth.

DUTIES AND RESPONSIBILITIES include the following.

Other duties may be assigned.
Phone/video calls to work with customers and vendors are common.

As such, candidate must exhibit a cheerful, caring and professional presence on the telephone.
Works with technicians and engineers to ensure timely and efficient dispatching of tickets.
Works with technicians and engineers to adjust ticket assignments where necessary throughout the day and throughout the evolution of the support services rendered.
Interfaces with Customer Account Manager to ensure harmony between client expectations and actual delivery.
Is responsible for ensuring accurate ticket titles, descriptions and labor types in our PSA (currently ConnectWise Manage) utilizing information gathered from our RMM, Monitoring Platforms, or Documentation system (IT Glue).

Works with Leadership team to streamline processes involved in service delivery.
Responsible for managing the customer QA experience.
Maintains cognizance of location and status of technicians and engineers and their work.
Work with technicians and engineers to complete tasks most efficiently while ensuring Adna Technologies BEST PRACTICES are followed.
Assists with defining and documenting BEST PRACTICES as they evolve
May require occasional work outside of normal business hours
Coordinate office activities and operations to secure efficiency and compliance to company policies
Manage phone calls and correspondence (e-mail, letters, packages etc.)
Support budgeting and bookkeeping procedures
Create and update records and databases with personnel, financial and other data
Track stocks of office supplies and place orders when necessary
Submit timely reports and prepare presentations/proposals as assigned
Assist colleagues whenever necessary

Other duties as assigned
Keen organization skills and a sharp memory.

Must have the ability to write well and maintain accuracy and correct spelling.

Prior experience in a similar job is highly desired.
Proven experience as an office administrator, office assistant or relevant role
Outstanding communication and interpersonal abilities
Excellent organizational and leadership skills
Familiarity with office management procedures and basic accounting principles
Excellent knowledge of MS Office and office management software (ERP etc.)
Qualifications in secretarial studies will be an advantage
Ability to effectively present information in one-on-one and small group situations.
High school diploma required.
College level coursework or experience in technical field is helpful but not required.
Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s.
Ability to perform mathematical operations.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to deal with problems involving several concrete variables in standardized situations.
While performing the duties of this job, the employee is regularly required to talk or hear.

The employee frequently is required to stand; walk; sit; use hands to finger, handle, or feel; and reach with hands and arms when working with documents, files, computers, or office machines.

The employee is occasionally required to climb or balance and stoop, crouch, or kneel when working with files.

The employee may infrequently lift and/or move up to 25 pounds or more when working with office equipment.

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts when working with office machines.

The noise level in the work environment is usually moderate as in the typical office environment.

Job Type: Full-time

Pay: $45,000.00
– $50,000.00 per year
